Terms & conditions for volunteers and organisations

goodforessex.org is an online shop window provided by Essex County Council (ECC) for the benefit of the community of Essex and enables Essex residents to register their personal details and interests to search a database of opportunities and events organised through community groups, voluntary organisations, charities and support services who publish their organisation details and . The Good for Essex support team (henceforth referred to as "we" or "us") is committed to providing a high quality, accessible and responsive service. However, if you believe that things have gone wrong, or have any comments please contact us by email: goodforessex@essex.gov.uk.

1.    Introduction

If you use the Website, you must comply with these Terms and Conditions.
Although you must read these Terms and Conditions in full, we think the most important points for you are:
(a)    You must be 18 or over or have parental consent to view or use the website. You can only create a profile if you are over 18. If you are under 18 and wish to participate in any of the opportunities published on the website a consenting adult will need to contact the organisation who published the opportunity directly. 
(b)    You must comply with our House Rules when you contribute content to the Website.
(c)    The organisations and groups are independent from us, and we have no control over the opportunities they offer. ECC is therefore not responsible and can accept no liability for the Opportunities.
(d)    Just because an opportunity is shown on the Website, does not mean it is available.
(e)    We will only share the information you provide to us with other people or organisations in accordance with our Privacy Policy.

2.    Website use

(a)    Except as permitted in these Terms and Conditions, you may not alter the Website in any way or do anything that might or will damage or disrupt the good working order of the Website or our equipment or software.
(b)    You agree that ECC may at any time and without prior notice to you replace or amend these Terms and Conditions.  Your continued use of this Website after amendments are made means you accept the Terms and Conditions as updated. You should therefore visit this page regularly to review the Terms and Conditions.
(c)    You must be18 or over or have parental consent to view or use the Website and create a profile. If you are under 18 and wish to participate in any of the opportunities published on the website a consenting adult will need to contact the organisation who published the opportunity directly. 
(d)        Community groups, voluntary organisations, charities and support services may be included if they fulfil any or all of the following conditions:

  • are geographically based in Essex and its bordering local authorities: South Suffolk, East Hertfordshire and East London Boroughs
  • are non-commercial organisations or those providing some service benefit to the community
  • are national umbrella organisations with regional offices
  • provide accurate and full contact details as required by the service

By using goodforessex.org you ("you" as a representative of your organisation or as an individual registering to view volunteering opportunities) agree to be legally bound by these terms, which shall take effect immediately on your first use of goodforessex.org. These terms may be revised at any time and updates posted online, so it is recommended that you review these Terms and Conditions regularly. Continued use of goodforessex.org after a change has been made signifies your acceptance of the change.

2. Rules for your content

2.1 In registering as an individual volunteering for opportunities or as an organisation representative registering and publishing opportunities or events at goodforessex.org you must not:

  • Distribute any material on the website that:
    • infringes any intellectual property rights or is in breach of law, statute or regulation, including the Data Protection Act 1998
    • is unlawful, defamatory, libellous, threatening, harassing, racially offensive, obscene, pornographic, indecent or otherwise objectionable
    • contains any viruses or other computer programs intended to damage, detrimentally interfere with, surreptitiously intercept or expropriate any personal information

2.2 In registering an organisation or group and subsequent opportunities and events  you must:

  • Monitor for libellous or defamatory material and must remove any such material when you become aware of its existence
  • Get a responsible adult's permission before publishing an opportunity or event on goodforessex.org if you are under 18 years of age.
  • Maintain and promptly update the information on your record to keep it true, accurate, current and complete
  • Take responsibility for any legal fees, damages or other expenses that may be incurred as a result of your publication

3. Our Right and Responsibilities to You

3.1 We will host your individual or organisation registration profile until such time we terminate the agreement:

  • The software tools provided by goodforessex.org are intended to enable Essex residents to view and register their interest in volunteering opportunities published by community groups, voluntary organisations, charities and support services
  • The software tools are provided on 'as is' basis. We do not guarantee that the software tools are free of faults or viruses and we do not warrant that the software tools are adequate for any purposes.
  • We do not guarantee that the Service will be provided nor do we guarantee its quality. We do not guarantee that any notice will be given of any suspension or termination of the service. We cannot be responsible for any loss or damage, including loss of data, whatsoever.
  • Virus protection - we make every effort to check and test material at all stages of production. It is always wise for you to run an anti-virus program on all material downloaded from the Internet. We cannot accept any responsibility for any loss, disruption or damage to your data or your computer system, which may occur whilst using material from goodforessex.org.

3.2 Your authorisation to use goodforessex.org automatically terminates without notice if, at our sole discretion, you fail to comply with any of the Terms and Conditions. On termination, you must cease all use of goodforessex.org and destroy all and any materials copied directly or indirectly from goodforessex.org . This does not limit our right to terminate at any time for Any Reason Whatsoever.

3.3 goodforessex.org content is provided for the benefit of the community of Essex. Because of the nature of community information and the necessity to rely on other contributors for information, goodforessex.org cannot guarantee the accuracy or endorse any of the information provided (i.e. that it will be error free or that defects will be corrected) and will not accept liability for damages incurred as a result of use of the service.

(b)    Where an Opportunity is posted on the Website, we cannot guarantee that it will be available and ECC has no control over its availability.

3.4 Links provided on goodforessex.org are provided to you only as a convenience and the inclusion of any link does not imply reliability and endorsement by us and we accept no liability in respect of the content.

3.5 Although the Good for Essex support team may from time to time monitor or review content on goodforessex.org, there is no obligation to do so and the team assume no responsibility or liability arising from the content nor for any error, omission, infringement, defamation, obscenity, or inaccuracy contained in any information within such locations on goodforessex.org.

4.0. Supply of Information

  • Registration Data and certain other information about you is subject to the provisions of the Data Protection Act.
  • Any communication or information transmitted by you as a registered user (registered means personal information entered by you for security and registrations purpose) on goodforessex.org by electronic mail or otherwise shall be treated as proprietary and confidential.
  • Any communication or information transmitted by you as a user with general public access and/or anonymous access to goodforessex.org by electronic mail or otherwise will be treated as non-proprietary and non-confidential.
  • Anything transmitted by you may be used by us for any purpose, including, without limitation, broadcast, transmission, publication, reproduction, disclosure, posting and any other use whatsoever.
  • When registering your interest in an opportunity or an event your email address or telephone number and usernames will be shared with the organisation that published the event, who will then contact you independently from the site.
  • Some information is collected and stored automatically when you visit the site. It may be used by goodforessex.org for development and marketing purposes but is not shared with other organisations for commercial purposes.
  • This information includes:
    • email address of  registered users of the website
    • e-mail addresses of those who communicate with us via e-mail
    • information volunteered by the user
    • aggregated information on what pages users access or visit

4.1. Information about you

(a)    We may collect personal information from you when you:

  • create or update a Profile;
  • register your interest in an opportunity
  • post content to the Website;
  • request or share information through the Website;
  • register for our regular monthly email through the Website; and/or
  • contact us through the Website, or any other channel.

(b)    This personal information may include but is not limited to the following information about you:

  • your date of birth;
  • your name  (including your first name(s) and surname);
  • your email address;
  • your postcode;
  • your phone number;
  • other details about you that you or others provide to us;video footage of you; and
  • photos of you.

   As an individual prospective volunteer we may also ask for or collect some non-personal information from you regarding your volunteering goals and interest.

(c) As a representative of an organisation or a group the information we may collect from may include:

  • name of the individual representing the organisation or group (including your first name(s) and surname);
  • your email address used for the purposes of the organisation or group;
  • organisation or representative of the organisation or groups postcode;
  • phone number used for the purposes of the organisation or group ;
  • other details about the organisation or group that you or others provide to us;video footage of you; and
  • images that represent the organisation or group
  • Description of the organisation or group
  • Goals that relate to the organisation or group

4.2.    Our use of this information

(a)    Your personal information will only be used by us to:

  • process your requests;
  • respond to your questions or comments;
  • provide or administer activities relating to the services offered on the Website, including the Opportunities;
  • display your Profile or Content on the website or any other website 
  • maintain our organisational records;
  • carry out research including evaluation carried out for us by another organisation or prepare reports; and

5.0.    Copyright and monitoring

The content of the Website is owned by ECC or third parties.  No content from the Website may be copied, used or reproduced without our written consent, except where it is used for research and non-commercial use where no consent is required. Please send your written requests to use content from the Website to goodforessex@essex.gov.uk
